ICAR 2024 Registration Fees and Deadlines

For best prices, become a member first so you get the member fees. We will email you the discount code after you become a member (may take 3-7 days to receive your code by email)

To apply for funding you must be a member.

Category Descriptions

  1. Early Career Professionals (ECPs)- including most Postdoctoral Scholars-  are within 10 years of finishing their terminal education (e.g., B.S., B.A., M.S., PhD). PUI- faculty are faculty at Primarily Undergraduate Institutions that do not confer graduate level degrees.

  2. Regular Professional: Academic & non-profit organization staff with 10+ years post education. This will include most faculty and others in research, administrative, etc. titles that are 10+ years post education (excluding for-profit companies)

  3. Company/Industry: all others that work in non-academic/for-profit organizations. Industry/company employees that qualify in the ECP category (within 10 years of finishing your terminal education) may register with the ECP rate.

  • Dinner tickets for the dinner party at the Salk Institute (Thursday 18 July) are limited in quantity (first come, first served.) They can be purchased when you register (housing also, when it is finalized, to be determined)

  • After you add your registration to your cart, you will scroll down to “Add-ons” to find the dinner tickets. You must purchase the correct ticket type or your ticket will be deleted and sold to another attendee (i.e., if you are a professor, you must buy a ‘regular professional ticket”

In-Person Participation Details & Deadlines

  • APRIL 15- extended to 22 April

    • DEADLINE TO SUBMIT AN ABSTRACT TO BE CONSIDERED FOR A TALK 

  • ~May 10-15- Session chairs will email selected speakers from abstract submissions

  • May 24- deadline for selected abstract speakers to accept or their slot will be given to an alternative speaker

  • MAY 31

    • DEADLINE TO SUBMIT AN ABSTRACT TO PRESENT A POSTER 

    • ALL PARTICIPANTS MUST BE REGISTERED OR THEIR ABSTRACT (AND SPEAKING SLOT IF APPLICABLE) WILL BE REMOVED (LINK)

  • June 15- deadline to cancel in-person registration, in writing, to icar.registration[at]gmail.com ($60 fee). No refunds given after June 15, 2024.

  • July 1- deadline to transfer your in-person registration, in writing, to icar.registration[at]gmail.com(no transfer fee)

  • July 1- Regular fee ends. Onsite registration only allowed after this date. (LINK)

In-Person Registration Fees: What's Included
Full Access Fee

  • Pre-ICAR sessions on Monday afternoon

  • Plenary Sessions, Concurrent Mini-symposia, and Workshops

  • Delegate materials onsite (printed program, bag; electronic pdf of abstracts & program)

  • Poster sessions with refreshments on Tuesday & Wednesday evenings

  • Eligibility to submit one abstract to present in a talk (if selected by a session chair) and/or as a poster

  • Exhibit Hall access on Tuesday & Wednesday evenings

  • Coffee/tea breaks and snacks

  • Four lunches (Tuesday-Friday)

  • Free virtual access to live streamed sessions and on-demand recordings (excludes Monday pre-ICAR sessions, recordings available 1 week post-ICAR, and for 1 month)

  • One ticket to the Opening Welcome Reception on Monday evening (RSVP required for catering purposes)

  • Access to join the 5K Weed Stampede Fun Run/Walk on Wednesday morning

  • Access to Science Art Show & eligibility to participate

  • Invitation letter for Visa applications (pdf), if needed

  • Certificate of attendance post-conference (pdf)
    *Separate ticketed event- ICAR party on Thursday evening

One Day Fee (maximum of 1 day can be purchased)

  • Access to all conference sessions on your chosen day

  • Catering on your chosen day: Monday (Welcome Reception only); Tuesday-Friday (Coffee/tea breaks, Lunch); Tuesday-Wednesday (Poster session refreshments)

  • Delegate materials onsite (printed program, bag)

  • Invitation letter for Visa applications (pdf), if needed

  • Certificate of attendance post-conference (pdf)

  • Cancellation for one-day in person ticket only: $30

Cancellation & Substitution Policy: 

  • You must cancel In-Person registration in writing to icar.registrar@gmail.com by June 15, 2024.

  • Cancellation fee is $60 USD (covers staff & fees). Be sure to get a confirmation from the registrar. We are not responsible for emails that are not successfully delivered. 

  • No in-person fee refunds will be given after June 15, 2024. 

  • You may transfer your registration to another person with no fees, provided you notify us in writing by July 1, 2024. 

  • If the organizers must cancel ICAR, e.g., due to Covid outbreak or for any other reason, we will refund 100% of the revenue we received; however, we will retain $30 USD per ticket to cover the transaction & processing fees paid to third party vendors.

  • In the event that NAASC cancels the event or associated ticketed events, NAASC is not liable for any charges including nonrefundable hotel charges, airfares, or change penalties imposed by an airline.

  • By registering for this event, you agree to the cancellation and refund terms and conditions.
